Privacy Policy

Last Updated: November 5, 2026

Vyola Ink Creative Studio ("Vyola Ink," "we," "us," or "our") operates vyolaink.co (the "Site") and provides website, AI automation, CRM, and marketing services to businesses. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.

This policy covers information we collect about visitors to our Site, prospective clients, and our clients’ staff who work with us. It does not cover information our clients collect from their own customers or patients using systems we build for them; see "Information We Process on Behalf of Our Clients" below.

Information We Collect

Information You Provide

When you fill out a form, book a consultation, chat with us, call or text us, or become a client, we may collect:

  • Name, email address, and phone number
  • Business name, website, and business details
  • Appointment and scheduling details
  • Messages, chat conversations, and call content
  • Billing information (payments are processed by our payment providers; we do not store full card numbers)
  • Any other information you choose to share

Information Collected Automatically

When you visit the Site, we and our service providers automatically collect information such as:

  • IP address and approximate location
  • Browser, device type, and operating system
  • Pages visited, links clicked, and time spent on pages
  • Referring website
  • Session activity such as clicks, scrolling, and mouse movement (see Session Recording below)

Cookies and Similar Technologies

We use cookies and similar technologies to run the Site, remember your preferences, and understand how visitors use it. When you first visit, we show a cookie notice. You can control or delete cookies through your browser settings; blocking some cookies may affect how the Site works.

We currently use:

  • Essential cookies: required for the Site, forms, and security to work
  • Chat, form, and booking tools: our website chat widget, forms, and calendars are provided by HighLevel (LeadConnector), which may set cookies to keep conversations and form submissions connected to you
  • Analytics and session recording: Google Analytics and Smartlook, which help us understand how visitors use the Site
  • Advertising: the Facebook Pixel from Meta, which helps us measure our advertising and show relevant ads, and may collect information about your visit and activity on the Site

If we add other advertising or analytics tools, we will update this list.

Session Recording

We use Smartlook to record visitor sessions (such as clicks, scrolling, and page navigation) so we can find and fix usability problems. We set it to mask information typed into form fields. Recordings are used only to improve the Site.

How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and schedule consultations
  • Provide, maintain, and support our services
  • Send appointment reminders, service updates, and follow-up messages
  • Send marketing emails and text messages when you have agreed to receive them (you can opt out at any time)
  • Process payments and manage client accounts
  • Analyze and improve the Site and our services
  • Detect, prevent, and fix security and technical issues
  • Comply with legal obligations

Text Messaging (SMS)

We send two types of text messages. You choose each one separately on our contact form:

  • Transactional messages about your inquiry, consultations, appointments, projects, and support requests
  • Marketing messages about our services and offers

Both consent boxes are optional and unchecked by default. You do not need to check either one to submit our form, and consent to receive text messages is not a condition of purchasing any service.

If you call our business number, (954) 883-9055, and we miss your call, we may send a text reply from that number so you can continue the conversation. We send marketing messages only to people who have agreed to receive them.

Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also contact us at hello@vyolaink.co. Carriers are not liable for delayed or undelivered messages.

We do not sell, rent, or share your mobile number or SMS opt-in consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers (such as our messaging platform and phone carriers) that help us deliver messages.

AI Chat and Phone Assistants

Our Site and phone lines may use AI assistants to answer questions, capture contact details, and book appointments. When you interact with an AI assistant, your messages, call audio, and transcripts may be recorded and processed by us and our technology providers (including AI model providers) to respond to you, keep records of the conversation, and improve the service. AI responses are automated and may not always be accurate. You can ask to speak with a person at any time.

Please Don’t Send Health Information Through the Site

Our Site is a business website for prospective and current clients. Please do not submit medical, health, or patient information through our website forms, chat, or email. If you are a patient of one of our clients, please contact that provider directly.

Information We Process on Behalf of Our Clients

We build and manage websites, chat and phone assistants, CRMs, and automations for our clients. When those systems collect information from our clients’ customers or patients, we process it on our client’s behalf and according to their instructions. Our client’s own privacy policy governs that information, and questions about it should be directed to that business.

Where a healthcare client needs us to handle protected health information, we do so only under a signed Business Associate Agreement (BAA) and using platforms configured for that purpose.

How We Share Information

We do not sell your personal information. We share information only as needed to run our business, including with:

  • Service providers that help us operate, such as website hosting, CRM and messaging (HighLevel/LeadConnector), phone and SMS carriers, email delivery, analytics (Google Analytics and Smartlook), advertising (Meta), AI providers, scheduling, and payment processors
  • Legal and safety recipients when required by law, court order, or to protect our rights, our clients, or others
  • Business transfers, such as a merger, acquisition, or sale of assets, where information may transfer to the new owner under this policy

How Long We Keep Information

We keep personal information only as long as needed for the purposes in this policy: generally, inquiry and lead information for up to three years after our last contact, and client records for as long as the client relationship lasts plus the period required for tax, accounting, and legal purposes. You can ask us to delete your information sooner, subject to legal requirements.

How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards, such as encrypted connections (HTTPS), access controls, and reputable service providers. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

Your Choices and Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Opt out of marketing emails (use the unsubscribe link) and text messages (reply STOP)
  • Opt out of the sale or sharing of personal information where that right applies. We do not sell your personal information for money. We use the Facebook Pixel for advertising, and you can limit it through your browser cookie settings or your Meta ad preferences

To make a request, email hello@vyolaink.co. We will respond within the time required by applicable law and may need to verify your identity first. We will not discriminate against you for exercising your rights.

Third-Party Links

Our Site may link to third-party websites, such as Google reviews or client sites. We are not responsible for their privacy practices, so please review their policies.

Children’s Privacy

Our Site and services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and change the "Last Updated" date. If we make material changes, we may also notify clients by email.
